Your Mission
We're seeking a Transaction Coordinator & Executive Assistant to join Texel Residential's growing team, where operational excellence directly supports investment execution across a rapidly expanding real estate portfolio.
You'll serve as the organizational backbone behind real estate transactions, executive operations, and rental portfolio management. Your work will ensure transactions close efficiently, leadership remains focused on high-value initiatives, and operational processes continue to scale alongside the firm's growth.

Key Responsibilities – What You'll Own
Support Portfolio Operations
- Oversee rental inventory tracking and maintain accurate records for leased and vacant properties.
- Coordinate maintenance, repairs, and vendor relationships to ensure portfolio performance and tenant satisfaction.
- Maintain lease documentation, tenant records, and rental payment tracking systems.
- Support tenant communications related to lease execution, renewals, and issue resolution.
- Ensure compliance with local and state rental regulations and company policies.
- Continuously improve property management workflows to increase efficiency and scalability.
Drive Executive Effectiveness
- Provide direct administrative support to firm leadership, including calendar management, meeting coordination, and travel planning.
- Draft correspondence, reports, presentations, and other executive communications.
- Manage confidential and time-sensitive information with professionalism and discretion.
- Coordinate with clients, vendors, and internal teams to support day-to-day business operations.
- Assist with financial reporting, invoicing, expense tracking, and administrative projects.
- Maintain office organization, supplies, and operational readiness.
Improve the System
- Document, refine, and enhance transaction and administrative workflows.
- Identify opportunities to automate or streamline processes that improve efficiency and reduce risk.
- Support special projects and strategic initiatives as assigned.
- Bring a continuous-improvement mindset to every area of responsibility.
Qualifications – What You Bring
- A strong operational foundation. Experience coordinating transactions, managing administrative workflows, or supporting executive operations.
- 2+ years of relevant experience in real estate transaction coordination, escrow, title, property operations, or a related field.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication abilities.
- Ability to manage multiple priorities simultaneously in a fast-paced environment.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint), Google Workspace, and CRM platforms.
- Strong problem-solving skills and the ability to work independently with minimal supervision.
- A process-oriented mindset with a focus on accuracy, responsiveness, and execution.
Preferred Qualifications – What Sets You Apart
- Property management or rental inventory experience.
- Previous experience supporting executives, senior leadership, or operating in a dual Transaction Coordinator / Executive Assistant capacity.
- Familiarity with property management software and real estate transaction management tools.
- Knowledge of residential real estate contracts, title and escrow processes, and rental housing regulations.
- Experience building, documenting, and improving operational workflows.
- Bachelor's degree or equivalent combination of experience and demonstrated performance.
